Shift change is an operational transition

Handover is more than signing a log or reporting that nothing unusual happened. It transfers the knowledge needed about process conditions, unfinished activities and restrictions affecting those who take over responsibility for the work.

Shift work creates discontinuities between people who have not experienced the same events. A situation obvious to outgoing personnel may be unknown to incoming colleagues, especially after a long absence or during abnormal operating conditions.

Preparation and exchange

Outgoing personnel should organise relevant information before the meeting. A structured record should be combined with direct, two-way communication, allowing questions and avoiding interruptions that could cause important matters to be overlooked.

Content depends on actual needs: unavailable equipment, ongoing work, permits, temporary changes, significant alarms and pending decisions. An excessively long record without priorities can bury a critical restriction among information of limited operational value.

Confirm understanding

Incoming personnel should cross-check information as they assume the task. A signature records an administrative action, but does not independently demonstrate understanding of restrictions or that actual conditions match those described in the handover record.

For example, continuing maintenance work requires clarity about what remains unfinished and who retains responsibility. Completion should not be inferred merely because the job was omitted from a brief conversation or the contractor’s working shift changed.

Design and review the arrangements

Records and tools should make consultation easy and identify information that remains current. User involvement helps avoid ambiguous fields and conflicting versions across notebooks, applications and messages, which may otherwise describe different states of the same activity.

A practical review observes actual handovers, checks whether personnel can explain restrictions and examines detected omissions. The aim is safe continuity, not more documentation without purpose. When processes, equipment or responsibilities change, handover content and conditions also need review. The arrangements should provide enough time and resources for the level of risk involved rather than impose an arbitrary short duration for every type of handover.
