What Google Gemini is

Google Gemini is a generative AI assistant for conversation, content work, research and creation. The name also identifies a model family. The application a person uses and the model processing a request are related but distinct components.

An API capability is not necessarily available in every app account. Gemini within Workspace also differs from a personal account. Professional use should identify the product, account, feature and date.

For OSH, it can support source exploration and reviewable drafts. Value depends on input quality, question scope and subsequent review.

History: from Bard to Gemini

Google announced Bard on 6 February 2023, initially using LaMDA. Experimental access began on 21 March in the US and UK. It moved to PaLM 2 in May; July expansion added languages and territories.

Bard became Gemini on 8 February 2024, alongside Gemini Advanced with Ultra 1.0 and a mobile experience. Subsequent development broadened file work, research, creation and connected actions.

Chronology helps identify outdated names and limits in older guides. Record the date and mode of a test rather than attributing results simply to “Gemini”.

Models, modes and recent changes

Google announced Gemini 4 Argon on 13 October 2026 for AI Pro and Ultra app subscribers. Flash and Pro families balance speed, reasoning and consumption differently; subscription and model names are not interchangeable.

Access documentation describes automatic selection without a plan and subscription-dependent options. Compute-based limits refresh every five hours up to a weekly maximum. One complex task may consume more than several short queries.

Compare using the same task and record model or automatic selection, files, effort and date. Check account eligibility before interpreting a missing option as a missing capability.

Web, mobile, desktop and Google integration

Gemini has web, mobile and desktop experiences. September 2026 notes document Windows; October notes include Antigravity on macOS and Customize. Integrations remain dependent on region, language and account.

A shared name does not mean identical workflows. Test the actual device, organisational account and output format before training a team. Check file locations and access.

An internal guide can identify input, source selection, review and delivery. Date screenshots and revise them as interfaces change.

Files, context and multimodal analysis

Gemini accepts documents, spreadsheets, images and other supported formats. Help specifies up to ten files per prompt, subject to availability, and warns that large inputs may cause omissions. Uploading does not establish use of every detail.

Inventory titles, versions, pages, tables and annexes. Request supporting documents for each section. Narrow the scope and check again when known material is missing.

For workplace photographs, separate visible description from interpretation. Images alone do not establish duration, forces, accumulated exposure or conditions outside the frame. Preserve those uncertainties.

Deep Research and source review

Deep Research prepares a reviewable plan before the report. Google Search is included by default, with other selectable sources such as files or connected services. Define authorised material and the research question.

Specify territory, period, population and source type. Separate documented facts, interpretation and unresolved questions. Review decisive claims first, especially those changing recommendations.

Length does not establish a systematic review. Retain search, selection and relevant passages for reproducibility. Preserve contexts and dates where documents disagree.

What citations establish and what remains unchecked

Google explains that some responses include sources or related links and others do not. Check correspondence between a link and the specific claim.

Review data, source, passage and scope. Where risk reduction is claimed, identify the studied population, conditions and outcome. Do not turn a possibility into a guaranteed effect.

Mark claims verified, pending or rejected rather than merely counting links. Multiple pages may repeat one announcement without independent evidence.

Canvas: documents, presentations and prototypes

Canvas creates or edits documents, slides, apps and code, transforms content and exports to Docs or Slides. Review both content and delivery format.

Start a prevention-session draft from an approved procedure. Check examples, questions, sequence, headings, tables, formulas and exported links.

Google warns that multi-user apps sharing data allow public-link holders to view and edit associated data. Use fictional prototype data and review before adopting an operational record.

Gemini Live: voice, camera and screen

Gemini Live offers interruptible voice conversation and, in supported experiences, camera or screen sharing. Help describes stopping controls and gradual rollouts.

Use it to rehearse explanations or training interviews, then check technical meaning. Conversational fluency may hide errors easier to spot in writing.

Check notifications, names and unrelated documents visible during screen sharing. Control what is shown and do not treat the response as authorisation to continue work.

From Gems to Skills: reusable instructions

Google announced Skills in September 2026: reusable, combinable instructions with references. The Gems transition is gradual and differs for personal, business and education accounts. Check account status.

Set language, structure and uncertainty reporting. Separate presentation rules from technical judgement: style is reusable, conclusions need case-specific evidence.

Test incomplete and contradictory inputs. Requiring every field to be filled may create false completeness. Retain version, purpose and ownership.

Personal Intelligence and connected sources

Personal Intelligence uses connected-app data for eligible personalised experiences. Controls exist by chat and app; disabling personalisation does not delete activity.

Define available information. Mixing messages or files from other contexts can confuse versions or recipients. Request explicit references.

Start with minimum material and record origins and permitted actions. Finding a file does not authorise redistribution.

Gemini Spark and task execution

Spark handles tasks and schedules. Current help requires a personal account, adulthood, AI Pro or Ultra and activity enabled; it excludes the EEA, UK, Switzerland and Nigeria. It is not universally available in Spain.

Reading differs from modifying files or using signed-in sessions. Define scope, data, outcome and review points. Verify destination changes, not merely completion messages.

For OSH pilots, choose reversible tasks with test data. Record errors and supervision before affecting people or operational decisions.

Generated images, video and audio

Google introduced Gemini Omni for conversational video in May 2026 and described Lyria 3.5 music generation in September. Check account-specific modes and limits.

Distinguish illustration from evidence. Generated video does not establish real work practices or incident facts. Label illustrative purpose and review equipment, postures, signs and sequence.

Review rights, consent and context. Convincing voices or imagery can resemble testimony; make educational purpose and approval clear.

Privacy in personal accounts

Gemini’s privacy hub describes activity use for service improvement and some human review. Disabling Keep Activity or using temporary chats limits certain uses, not all operational and safety processing.

Identify account, settings, purpose and minimum data. A paid personal account is not a corporate service. Avoid clinical or incident records without authorised handling.

Review outputs too: summaries can identify people through context. Check recipients and necessity before distribution.

Workspace, API and organisational conditions

Workspace licences including Gemini as a core service offer enterprise protections. A corporate email domain alone is insufficient; check the licence and enabled service.

The API has separate terms distinguishing unpaid and paid services, with specific EEA, Swiss and UK data-use rules. Review the actual integration’s terms.

Document access administration, conversation handling and connectors. Test a representative account; a personal demonstration does not define an enterprise deployment.

Errors, bias and known limitations

In February 2024 Google acknowledged inaccurate images of people and temporarily paused that generation. This is a documented historical episode, not the current status of the entire feature. Review representations as well as visual quality.

Current documentation warns of inaccurate information, including explanations of Gemini’s own operation. Self-described capabilities do not replace product documentation.

Test known answers, contradictions and missing data. Assess uncertainty, exceptions and invented details. Confident wording is not an accuracy measure.

Applications in occupational safety and health

It can help prepare accessible prevention materials and explore information from different sources. For occupational safety work, first define the goal, audience and approved source documents so that the output addresses a specific need and can be checked. Any proposed application needs to fit the actual tasks and workplace conditions.

As proposed uses, a team can compare a technical text with its plain-language version, organise training-session questions or develop an outline from several documents. Each task has a different check: fidelity to the original, coverage of questions or correspondence between a statement and its source. Combining formats also allows a photograph to provide context, while separating visible features from conditions that must be observed or measured at the site. These distinctions should remain visible in the final draft, rather than disappearing during editing.

Worked example and checks

An example is turning an internal office ergonomics guide into an induction script and frequently asked questions. The practitioner checks that the advice fits real workstations and identifies issues that need an individual assessment or a physical adjustment.

In the ergonomics induction example, the improvement is to make the adaptation verifiable:

  1. Prepare the approved guide, identify its version and record which workstations it covers. Add only authorised images necessary to explain the context.
  2. Request a script divided into workstation preparation, working habits and questions requiring individual advice. Require a source section for each recommendation.
  3. Ask for a list of matters the material cannot determine. A photograph must not become a measurement or a diagnosis.
  4. Compare the script with the guide and check that no recommendation generalises a particular situation. Review terms, units and example readability.
  5. Check the audience’s understanding and return corrections to the working document. Keep approval and the final version separate from the conversational draft.

The deliverable may include questions for the prevention team, but not personalised answers about health conditions. Review both added advice and qualifications lost during summarisation. A shortened version should still explain when a user needs to consult the full procedure.

Limitations and conditions of use

Multimodal analysis may miss photographic details or infer conditions not shown. A generated response should not be treated as an exposure measurement or automatic confirmation that a workstation is safe.

Choosing and complementing the tool

Gemini can fit organisations working with mixed formats that need conversational transformation. If the main objective is querying a bounded source set, compare the approach with Gemini Notebook. For maintaining a stable tracking table, Google Sheets provides a specific working surface.

Before choosing, try representative documents: a simple one and another containing tables or images. Measure omissions, fidelity and review effort. A good text summary does not establish equal quality across every format. Repeat the test when the actual input differs substantially from the pilot material.

Frequently asked questions

Is an answer without sources necessarily incorrect?

No, but appearing in a conversation does not verify its content. Preventive decisions require locating and checking the relevant evidence.

Can a photograph establish that a workstation is ergonomically safe?

An image provides visible context but does not capture duration, force, variation or every working condition. It does not replace a workstation assessment.

What should be done with an apparently incomplete file?

Check pages and sections against the original, narrow the question and request specific checks. Record excluded material before relying on the summary.
