What Power Automate is
Microsoft Power Automate automates processes through service connections, desktop actions and task coordination. It forms part of Power Platform alongside tools such as Power Apps and Power BI. It combines process automation, AI capabilities and analysis of workflow operation.
Its usefulness depends on describing a process through inputs, decisions, owners and verifiable outcomes. Automating a sequence does not establish that the sequence is correct. Separate rule-based execution from work requiring human review, particularly where outputs inform professional decisions.

History: from Microsoft Flow to Power Automate
Microsoft Flow became generally available on 1 November 2016, connecting applications and services through workflows. On 4 November 2019 Microsoft announced the Power Automate name and robotic process automation capabilities, extending its scope to tasks performed through interfaces.
The May 2020 acquisition of Softomotive strengthened desktop automation. In March 2022 Microsoft acquired Minit to extend process-mining capabilities. These milestones explain today’s combination of service connections, interface automation and process analysis.
Historical names appear in documentation, templates and technical discussions. Before reusing a tutorial, check its date, designer and licensing context. Instructions from Microsoft Flow’s early years may not describe the current product.

Automated, instant and scheduled cloud flows
Cloud flows can start from an event, a manual action or a schedule. The trigger determines when the process begins; actions define what follows. Designs can include conditions and logic for different inputs.
A new request could start a review, a button could prepare a set of references, and a scheduled run could check document-review dates. These are editorial examples, not implemented processes. Each requires a clear definition of data access and authorised changes.
Choose the trigger according to the actual need. Querying a source too frequently can increase consumption without adding value; infrequent checks may delay work. Measure the interval from event to outcome and define how unprocessed inputs will be detected.

Desktop automation and RPA
Desktop flows automate work in applications and websites through interface actions and other machine resources. They can complement API connections where visual interaction is required. Attended and unattended operation have different session, machine and licensing requirements.
Microsoft documents Windows-session restrictions for unattended runs and warns that resolution differences can affect interaction with elements. A trial on the creator’s computer does not establish equivalent behaviour on the execution machine.
For repetitive work, first check for a suitable structured connection. If using the interface, define element identification, unexpected-screen detection and stopping rules for ambiguous outcomes. The final record should establish what changed, beyond whether the robot completed its sequence.

Stage-based business process flows
Business process flows present stages and steps in model-driven applications. They can require selected fields before progressing. Their main role is guiding data entry and process progression; additional automation requires combining other capabilities.
A “reviewed” stage needs an operational definition: who reviews, what they check and which evidence they retain. Making a field mandatory ensures a value exists, not that it is correct or that review covered the intended scope.
Avoid duplicating statuses already held in the system of record. Users should understand why a field is requested and what the next step enables. A short, clear process supports more consistent completion.

Approvals and human decisions
Start and wait for an approval initiates a request and waits for a response. Approval types determine who must respond and how the outcome is reached. Requiring every participant’s decision differs from accepting the first response.
A request should identify its object: document, version, scope and purpose. A link to a file that changes during review can break the relationship between approved content and the material eventually used. Define what happens when content changes.
Specify rejection, absence and substitution. Silence should not automatically become acceptance. For OSH tasks, reviewers need appropriate context and competence; automation records and coordinates the decision but does not supply technical reasoning that never occurred.

Process mining and record quality
Process Mining analyses event records to reconstruct paths and identify process variations. Documentation requires case identifiers, activity names and timestamps. Activity records can include start and end times, while an event may have one timestamp.
Analysing document reviews requires consistent meanings for “sent”, “received” and “reviewed”. Where systems use the same label for different events, the map may mix distinct processes. Before interpreting durations, check calendars, time zones and missing activities.
An observed delay does not explain its cause. It may reflect planned waiting, missing information or late recording. Comparing analysis with process owners avoids turning time differences into unjustified conclusions about individual performance.

Copilot, AI Builder and verifiable results
Copilot assists natural-language workflow construction and process analysis. AI Builder provides prebuilt or custom models within Power Platform. Availability of individual capabilities depends on region, offering and release status.
Distinguish assistance with constructing a workflow from an AI action running inside it. The former requires review of the proposed design; the latter may require validation of each output. A conversational interface does not remove permissions, licensing conditions or acceptance criteria.
As an editorial trial, extract references from a small set of authorised documents and compare each output with the original. Record omissions, invented values and uncertain cases. A well-structured response may still contain incorrect information; preserving its document reference supports review.

Environments, solutions and maintenance
Solution-aware flows can use connection references and environment variables to support movement between development, testing and production. A solution groups related components; variables separate environment-specific values from workflow logic.
Deployment should verify real connections, permissions and destinations. Successfully importing a package does not establish connection to the correct environment. A clearly labelled test record helps verify where data was written and which effects occurred.
Document the owner, substitute and dependencies. When a list, field or account changes, review workflows using it. Maintenance belongs in the process from the outset; otherwise, automation may continue operating on assumptions that are no longer valid.

Errors, timeouts and recovery
Scopes group actions and support structured failure handling. Cloud-flow documentation specifies a thirty-day maximum run duration, including pending steps such as approvals. Processes that may last longer need appropriate state and continuity design.
Repeating an action is not always harmless. If a destination created a record but its response was lost, an unchecked retry can create another copy. Preserving source and destination identifiers helps establish what remains unfinished.
In trials, introduce a controlled failure before and after a write. Verify detection, ownership and recovery to the expected outcome. An error notification is a signal; resolution requires checking the final state in the receiving system.

Licences, connectors and total cost
Microsoft distinguishes per-user Premium licences from capacity offerings such as Process and Hosted Process. Connector rights, unattended automation and hosted machines need scenario-specific review. Rights included in other subscriptions do not necessarily provide every capability.
Before budgeting, identify who creates, runs and uses the process, its connectors and execution hosting. Cost also includes administration, support, additional consumption and exception handling. It should not be inferred from one account successfully opening a template.
Compare tools with the same volume and expected outcome. For document review, cost per traceably reviewed version, including pending and rejected cases, is more useful than simply counting runs.

Current access and mobile-app retirement
Power Automate’s mobile app retired on 31 August 2026. Cloud flows continue operating.
Internal procedures should therefore not depend on installing that app. Review current ways to run, manage and respond to requests in the chosen environment. Training instructions should match the interface available to each participant.
When updating a process, check both automated execution and the experience of the person receiving work. A flow may continue running technically while the link or channel described in a manual no longer supports completion of review.

Relationship with occupational safety and health
As uses proposed by Sabentis, Power Automate can coordinate reviews and administrative transfers around OSH:
- Material review: request approval for a specific version of a preventive communication.
- Meeting preparation: collect approved references and create internal tasks to complete missing information.
- Request tracking: record an incoming request, assign review and retain the decision outcome.
The workflow organises who participates and when. An approval button does not independently determine that a procedure is technically suitable, a control is effective or training addresses a job requirement.
Hypothetical example: reviewing material before distribution
A team prepares an OSH induction guide. A content owner and a person responsible for adapting it to the site must review it.
- Identify the document and version. Include site, language, purpose and a link to the file under review.
- Define whether both reviews are mandatory and whether they must follow a specific order. Do not use first response when both are required.
- Record each decision against its document reference. If rejected, return the material to preparation and retain the reason.
- If the version changes during review, invalidate the earlier request under the agreed rule and request a new review.
- Test approval, rejection, no response and insufficient file access. Only the approved version becomes ready for distribution.
Validation compares document, version, reviewers and outcome. Preparing distribution is different from sending: that step needs a defined authorisation and scope.
Data policies and continuity
Power Platform data policies can block connectors or prevent their combined use. They apply during design and execution; a conflict can suspend a flow. A policy change can also affect processes that previously worked.
Before relying on the flow, identify who controls connections, who covers an absent owner and how unanswered requests are handled. Check that reviewers can access the correct file without unnecessarily expanding permissions. Separate link expiry, service availability and a person’s decision: these are different reasons for a pending request.

When to choose it and what to pair it with
It merits evaluation when a process already uses compatible Microsoft services and identities, policies and connections have clear administration. Include licensing, maintenance and failure recovery in the decision.
Microsoft Forms can provide structured intake; Microsoft Teams can organise collaboration. Before connecting them, confirm where the reference record lives and who can change it. Avoid creating several lists that appear to be the official version of the same status.
Frequently asked questions about Power Automate
Does approval equal technical validation?
Only if a competent person performed the intended review and the decision is linked to the correct version. The record proves a response, not reasoning that was never documented.
Why might a flow stop working without being edited?
Possible causes include changes to connections, permissions or data policies. Review the actual diagnosis before repeating actions.
What should happen when nobody responds?
The process should define a deadline, cover arrangements and handling of pending cases. Silence should not automatically become approval.
