Define roles and permissions in Sabentis

Assign responsibilities, occupational health and safety technicians, and access rights by center. A good role structure ensures that each user only sees—and does—what is assigned to them, without hindering the team’s work.

What is a role in Sabentis?

A role is a set of permissions assigned to a user that defines what they can see, read, write, or approve within the platform. At Sabentis, permissions are always defined along two axes: module (which tool) and scope (in which center or location).

Most common types of roles

👤

Worker

Access to the Employee Portal: view your training, PPE, pending signatures and notifications.

🛠️

Internal Occupational Health and Safety Technician

Reading and writing in operational modules of the center or centers to which it is assigned.

🤝

External Occupational Health and Safety Technician

Limited access per center, reading in transversal modules and writing only in assigned operational modules.

👔

Responsible / Manager

Access to your area or team: incident review, measure validation, dashboards for your unit.

📊

Management

Global read access: KPIs, reporting, Power BI. No operational write access.

⚙️

Administrator

Configure the organization, roles, and modules. Designed for 1–2 people per instance.

How to create a role

  1. Go to Settings > Roles and permissions.
  2. Click New role and enter a clear name (e.g., “External OHS Technician – North Central”).
  3. Select the modules you will have access to.
  4. For each module, define the permission level: read, write, approve.
  5. Define the scope: the entire organization, a company, or specific centers.
  6. Save. The role is now available to assign to users.
💡 Good practiceCreate a few well-defined roles instead of many nearly identical ones. If two roles differ only in their site, use the same role and change the scope when assigning it.

How to assign roles to users

  1. Go to Users and open the user’s profile.
  2. On the Roles tab, click Add role.
  3. Select the role and, if applicable, the centers it operates on.
  4. Save. The change applies at the user’s next login.

Permissions by center or location

The site-based scope allows the same role to function for multiple users, simply by changing where it operates. This is the recommended approach for organizations with multiple locations, projects, or production lines.

📌 RememberA user can have multiple roles at the same time. Sabentis applies the aggregation of permissions: if one role grants read access and another grants write access to the same module, the broader permission prevails.

Frequently Asked Questions

What permissions does an external occupational health and safety technician need?
Access is limited per center, with read access only in cross-functional modules and write access only in assigned operational modules. Everything is configured through Roles and Permissions.
Can I limit access to only one specific module?
Yes. When creating the role, select only the modules it should have access to and leave the rest without permission.
Are role changes applied instantly?
These changes will be applied the next time the affected user logs in. If you need them to be applied immediately, ask the user to log out and log back in.
Who can create or edit roles?
Only users with the Administrator role. It is good practice to keep this role limited to 1–2 people per instance.
